How Does It Work?
OnLetterhead plugs directly into your Outlook providing you with an additional "tool-bar". You simply select the design you would like to use and hit the "New" button. A branded email will appear allowing you to start typing. Additional features are available to use from the "OnLetterhead" drop-down menu located at the top of Outlook.
What if I do not have Outlook?
OnLetterhead requires the user to have Outlook or Outlook express. Almost all computers are equipped with Outlook express. It is recommended that users utilize Outlook to experience the true power of OnLetterhead.
What programs can read the OnLetterhead mail?
Any email program capable of receiving HTML can open an OnLetterhead email. It does not require special systems to receive branded email.
Can the designs be used in other programs?
The designs are designed and programmed for use in the OnLetterhead system. The "code" for the designs incorporates special features and if used in another system, they will not work properly.
How big are the emails?
OnLetterhead emails are roughly 7-15k when delivered. Images are only visible when the user clicks on the email to view the message. This is done to prevent longer download times when the user hits the "Send/Receive" button.
Can I still send plain email?
Yes you can. OnLetterhead installs an additional "toolbar" and does not replace the existing Outlook toolbar. You have the option to send plain email or branded email.
Can I change my designs?
You have full input during the design process. Once the design is completed and loaded into the system, there will be an additional charge if changes are to be made.
Is there a maximum amount of designs I can have?
No there is not. You may purchase as many as you want.
Is there a limit on the amount of emails I can send?
OnLetterhead has nothing to do with the sending of your emails nor does it have any limits on what you can do. OnLetterhead brands your outgoing messages and doesn't affect your current sending limits.
Do you host my email?
OnLetterhead does not host your email. It does not have access to your email or your email settings. In fact, for privacy, OnLetterhead does not have access to the password to your OnLetterhead system.
Is OnLetterhead secure?
OnLetterhead is extremely secure. Please refer to the security section of this guidebook for further details into the security of OnLetterhead.
Does this change how Outlook works?
OnLetterhead does not change how Outlook works. Outlook is a very powerful system and OnLetterhead takes advantage of the features and benefits provided. OnLetterhead changes how your emails look when you compose a branded email
Is OLH a desktop application or an ASP?
OnLetterhead is a desktop application that directly integrates with your existing email application.
Can the employees insert an image of their own choice?
Yes, some OnLetterhead designs have the capability to incorporate dynamic images built right into designs. Some of the more popular uses are real estate designs that allow agent and home pictures. Car dealerships use this type of dynamic image design to showcase different vehicles, specials and promotions.
These images are inserted at the end user level giving the user complete control of their designs with little effort and knowledge. In some cases, the network administrator or marketing manager can make a change to a design and that design is updated for all users.
Does OLH add branding elements on the fly or are the elements embedded in the email?
OnLetterhead adds branding elements at the sender (for review) and at the recipient level. No elements are embedded as the file size would be too large and filters would strip or add these as attachments. All branding elements are added dynamically according to each users account settings.
Can creative employees alter and get access to templates?
During the creative design process, employees can aid in the submission of the designs. Once the templates are created and "live" in an account, only OLH has access to these to maintain them correctly.
Will the solution differentiate between HTML and text-only recipients?
If text only is available, the message will be stripped of its graphical content and the message portion will be delivered. This will allow the message to be delivered even if the images cannot.
Will the system work across various email client security patches, versions, operating systems, and email protocols?
OnLetterhead is designed to work with all current supported Microsoft clients including patches, versions and operating systems. With all systems, there are differentiating features that make each one unique. OnLetterhead has been unit tested to work with all common system configurations, proxies, firewalls and system setups. Most non-Microsoft platforms are compatible for receiving these emails.
What will internal email look like?
Internal email can be sent in a plain white format, as a standard Outlook email, or it can be branded by OnLetterhead. The user has the choice.
Is the system optimized for display across various email programs: AOL, Blackberrry, Hotmail, Eudora, Entourage, Novell Groupwise, Outlook and others?
The system is optimized to display across these different clients. Each client differs from the others and all have different ways of displaying email, dynamic elements and images. OnLetterhead has been successfully received on all of the above-mentioned platforms. Different configurations and versions may affect how the emails are received.
Will reply and forward behavior be handled to eliminate stacked graphics?
Reply and Forward does eliminate stacked graphics. These emails are sent in the same format as they were received. Also, click-throughs are not tracked but metric harvesting is on the development curve. No deliverable date has been set.
Why do I need software?
You need software to send branded email. OnLetterhead is software, without it, you will not be able to integrate your designs, your licenses, all dynamic elements or your signatures. The software also interfaces with the web servers to guarantee you have the most current information.
Can't I just have a custom design made and put it into my Microsoft Outlook or Express?
Yes you could. However, there are many pitfalls associated to this approach such as delivery, files size, interoperability, compatibility etc. It is the same reasoning of why do I have to buy a DVD Player when I can build one?
Who owns the custom designs created for a company?
The client owns the designs of the template in a flattened file. The company owns the code behind the designs as it is used for the OnLetterhead system.
Can we include targeted header and footer disclaimers?
All targeted header and footer disclaimers can be included in the original design elements for your templates. They may also be added a plain text inside the design.
How will user account, template and contact information be updated and managed?
All information is managed on the user level allowing the user to update all information via an easy interface. With the change of information, all data is updated on their designs automatically.
Can designs be made clickable so that they direct the recipient to a website for more information?
All images uploaded to your designs can be assigned attributes such as a web site or email link. You may change and update these links as often as you like.
